Data handling & security

Where your documents go, who can see them, how long we keep them, and what happens when they are no longer needed.

How we receive your documents

  • Email, for day-to-day working papers
  • A shared folder we set up for the engagement, for anything bulky or sensitive
  • Physical documents, by hand or courier, where originals are unavoidable

We do not ask you to attach confidential ledgers or contracts to a website form. The forms on this site are for enquiries, not for document transfer.

Where they are stored

Working papers are held on our own systems in China. Access is limited to the engagement team: the partner, the manager, and the staff assigned to the job. Nothing is shared with other clients, and nothing is moved to a public file-sharing service.

Access control

  • Least-privilege access — each person sees only the engagements they work on
  • Individual accounts, no shared logins
  • Access removed the day someone leaves the engagement or the firm

Retention and destruction

Engagement files are retained for ten years, as required of accounting firms in China. After that they are destroyed — electronic files deleted, paper files shredded. We tell you before we destroy anything you may still need.

Cross-border transfer

If your overseas parent needs the file, we can send it, but we do so deliberately: we agree the scope of what is sent, use a channel we control, and rely on the transfer mechanism required under China’s Personal Information Protection Law. Tell us early if the parent will need the data — it is much easier to plan than to retrofit.

Confidentiality agreement

We sign a mutual NDA on request, before any document changes hands. Confidentiality is also a standing professional obligation for us, whether or not an NDA is signed.
