Bookkeeping that a group auditor can actually use

Most bookkeeping problems in China are not mistakes in the ledger — they are a chart of accounts that does not match the parent, expenses without proper invoices, and a mess discovered in May. We keep the books monthly, in Chinese for the tax bureau and in English for you.

  • Closed every month — not reconstructed in the summer when the audit is due
  • Chinese compliance, English reporting — the tax bureau gets what it wants; your parent gets what it can read
  • VAT and IIT filed with the books — returns and ledger agreed, so the audit is not a reconciliation exercise
  • Fixed monthly fee — agreed from a document count, not billed by the hour

Timing

The monthly rhythm

Same cycle every month, so you always know where you stand.

Documents in — first week

You send invoices, bank statements and payroll. We tell you what is missing within two working days.

Books closed — second week

Vouchers posted, bank reconciled, and any gaps queried while the paperwork is still findable.

Filings — before the deadline

VAT, surcharges and IIT withholding filed, with the payment amount confirmed to you first.

Reporting — by the tenth working day

Management accounts in English: balance sheet, P&L and a short note on anything unusual.

Scope of services

What the work actually covers

Process

From first email to finished work

01  You send the basics

Entity type, what has been requested, and when it is due. One email is enough to start.

02  Scope and fixed fee

We come back within one business day with a written scope, a fixed fee and dates.

03  Documents and fieldwork

One document request list. We work from it, and visit site only where the work genuinely needs it.

04  Delivery and follow-through

Signed output in English or bilingual, plus support through whatever filing follows.

Fees

How we price it

Fixed, in writing, before fieldwork starts. The drivers below are the ones that actually move the number — we tell you which of them apply to you in the first reply, not after you have signed.

  • Entity size, number of bank accounts and transaction volume
  • Whether prior-year figures are audited or management-prepared
  • Reporting language: English, Chinese, or bilingual
  • Whether group reporting requires a GAAP reconciliation
  • How much of the bookkeeping we have to rebuild first

FAQ

Questions about bookkeeping

Do you work in our ERP or yours?

Either. We can work directly in your system if you give us access, or maintain the statutory books in ours and give you the English reporting. Many groups run both: their ERP for management, our books for China compliance.

Can you work with Kingdee, Yonyou or SAP?

Yes. We work in all three regularly, and we can map your chart of accounts to the parent's codes so consolidation is a routine step rather than a project.

What if we already have a part-time accountant?

We can review and close the books monthly alongside them, or take the statutory filings and leave the day-to-day processing with them. Say what you have and we will propose a split that does not waste what you already pay for.

What does it cost?

Representative offices start at RMB 500 a month. For a trading or service WFOE the fee is set from your monthly document volume and bank account count, and agreed in writing before we start. The figure below is indicative — send us a document count and we will confirm it.

Who signs the filings?

We prepare and file under the entity's tax authorisation. You keep the approval step before anything is submitted if you want it.

Send us a month of documents and we will quote it.

One month of invoices and bank statements is enough for us to price this properly and tell you what is missing.
